Donation receipt books

Donation receipt books are a great tool to use in face-to-face fundraising, as you can ask for and accept donations on the spot, and provide your supporters with tax-deductible receipts for donations of more than $2.

How do we get a book?

Oxfam Trailwalker will no longer automatically include donation receipt books in team registration packs, as we have in the past. We’ve seen a large decline in the use of donation books over the last few years, as online donations become more popular. By sending out books by request only, we can reduce paper waste in line with Oxfam Australia’s environmental principles. Please contact us if you would like to be sent donation receipt books to help with your fundraising efforts.

Important things to remember

Please take the time to read the instructions in your donation receipt book.

When you receive a donation it’s important to fill out all receipt details carefully, including the stub which remains in the book, before you hand it to your donor.

If you have cash/funds raised from a fundraiser such as a trivia night, please note the amount in your sponsor book, leave the tear-off receipt intact, include this in the cash donations total and cover the amount with a cheque, money order or credit card. The amount fundraised using receipt books will not appear as part of your fundraising total until Oxfam receives and processes the books. So send your books in as soon as they’re full and watch your fundraising total grow!

When sending in your books:
1. Please read the instructions on page one and fill out the Donation Summary page. Do not send cash – it isn’t secure and if it goes missing we can’t get it back.
2. Your books must balance. Cheques and/or credit card amounts must reconcile with the amount of donations recorded in the book.
3. ONLINE DONATIONS MUST NOT BE RECEIPTED IN THIS BOOK.
4. If you have lost your books please complete and return a Statutory Declaration form. When completing the form please indicate:

  • Team name or number
  • What happened to the book
  • Whether the book was used or empty

Oxfam Australia is legally required to retrieve or account for all issued donation receipt books. You are legally required to return your books to Oxfam Australia, even if they aren’t used. Oxfam staff or volunteers are obligated to chase up all outstanding books.
